Are you a detailed, structured, and mission-driven Office Administrator with passion for service to your community?   Come join our Planning and Engagement Team as our Planning and Engagement Office Administrator!   Help UTA keep moving forward as you take a key role in providing critical administrative support to the Chief Planning and Engagement Officer (CPEO) as well as the rest of the planning and engagement team.   

Our Planning and Engagement Office is an energetic, visionary team with a focus toward developing the future of public transit in the Wasatch Front. This vibrant, diverse group consists of Service Planners, Long Range Strategic Planners, Customer Experience Planners, as well as our Community Engagement Team.  In this position you would take a central role in keeping the Planning and Engagement office running smoothly and efficiently.

 

As the Planning and Engagement Office Administrator, you will:

  • Provide critical executive leadership administrative support to the Chief Planning & Engagement Officer (CPEO).
  • Provide additional administrative support to the Planning, Innovative Mobility Solutions, Community Engagement and Customer Experience and Service departments as needed.
  • Perform office and administrative tasks, including planning, budgeting, meeting coordination, and handling the day-to-day departmental, interdepartmental, and external communications and correspondence.
  • Oversee UTA’s membership and sponsorship program in coordination with the Community Engagement department.
  • Handle highly sensitive information.
  • Manage special requests and other projects as assigned.

 **Because of the nature of the work we do in this department, this position does NOT generally have work from home capabilities, although, there is some flexibility as needed.   If we offer you this position, please expect to be working at Frontlines Headquarters in our downtown office with our Planning and Engagement Team nearly every working day. ** 

Minimum Qualifications

Education/Experience

  • Four years of experience in an administrative, office specialist or similar role reporting directly to upper management.
  • Experience working in the public sector, especially in government, civil, or transportation planning, or some other kind of public service is preferred, but not required.
  • Experience providing administrative support to a Chief Executive Officer or Director preferred, but not required.
  • Associate degree in any field of study (In lieu of an associate degree, two additional years of experience will be accepted)

Knowledge/Skills/Abilities

  • Intermediate proficiency in Microsoft Excel, Word, PowerPoint, Outlook, Adobe Creative Suite, and Visio preferred but not required.
  • Interact efficiently with employees across all levels of the organization; you will work with a diverse group of people and maintain confidentiality.
  • Work under pressure in a fast-paced environment, exercising sound judgment and discretion.
  • Take initiative and work independently to complete assignments and tasks with minimal oversight.
  • Excellent interpersonal and written/oral skills; Excellent customer service skills.
  • Effective time management and organizational skills with a high level of attention to detail; Multitask and manage multiple projects simultaneously.
  • Basic understanding of LEAN and continuous improvement tools and concepts.
  • Must be efficient and detail oriented.

Pay Range: $26.202 to $31.490 Depending on Experience
